1. Who we are

Olyv (“Olyv”, “we”, “us” or “our”) is a women-only events app that helps you discover, plan and book events, with AI agents handling booking and group coordination. This policy explains how we collect, use and protect your personal data.

For the purposes of the UK General Data Protection Regulation (UK GDPR), the EU General Data Protection Regulation (EU GDPR) and the Data Protection Act 2018, Olyv is the “data controller” of your personal data. If you have any questions, contact us at olyvapp@gmail.com.

2. What data we collect

Depending on how you use Olyv, we may collect:

  • Contact details — such as your email address when you join our waitlist or create an account.
  • Profile information — such as your name, interests, hobbies and preferences.
  • Identity verification data — to keep Olyv a verified women-only space, we may process government-issued identity documents and related information to confirm eligibility. This is special category / sensitive data and is handled with additional safeguards (see section 4).
  • Event and booking data — events you view, plan, join or book, and information needed for our AI agents to make bookings on your behalf.
  • Usage and device data — such as app interactions, IP address, device type and cookies or similar technologies.

3. How and why we use your data

We only use your personal data where we have a lawful basis to do so under the UK/EU GDPR:

  • To provide the service (performance of a contract) — creating your account, matching you to events, and enabling AI-assisted booking.
  • To keep Olyv safe (legal obligation and legitimate interests) — verifying eligibility, preventing fraud and protecting our community.
  • To communicate with you (consent or legitimate interests) — waitlist updates, service messages and, where you have opted in, marketing.
  • To improve Olyv (legitimate interests) — understanding how the app is used and developing new features.

Where we rely on consent, you can withdraw it at any time. Where we process special category data (such as identity documents), we rely on your explicit consent and/or substantial public interest grounds.

4. Identity verification & sensitive data

To protect the safety of our community, Olyv verifies members using government identity documents. This data is processed only for verification, retained no longer than necessary, protected with appropriate technical and organisational measures, and never sold. Where feasible we delete or minimise document images once verification is complete.

5. AI agents & automated processing

Olyv uses AI agents to discover events and to make bookings on your behalf once an event reaches its minimum threshold. These agents act on the preferences and instructions you provide. We do not use automated decision-making that produces legal or similarly significant effects about you without a lawful basis and applicable safeguards.

6. Sharing your data

We do not sell your personal data. We may share it with:

  • Service providers who help us operate Olyv (e.g. cloud hosting, database, email and identity verification providers), acting as our processors under contract.
  • Event organisers, venues or communities where necessary to complete a booking you have requested.
  • Authorities or third parties where required by law or to protect our rights and the safety of our community.

7. International transfers

Some of our providers may process data outside the UK or European Economic Area (EEA). Where this happens, we ensure appropriate safeguards are in place, such as UK International Data Transfer Agreements, the EU Standard Contractual Clauses, or transfers to countries with an adequacy decision.

8. How long we keep your data

We keep personal data only for as long as necessary for the purposes described in this policy, to comply with legal obligations, resolve disputes and enforce our agreements. When it is no longer needed, we securely delete or anonymise it.

9. Your rights

Under UK and EU data protection law, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request erasure of your data (“right to be forgotten”).
  • Restrict or object to certain processing.
  • Request data portability.
  • Withdraw consent at any time, where processing is based on consent.

10. Cookies & similar technologies

Olyv uses cookies and similar technologies to operate the app, remember your preferences and understand usage. You can control non-essential cookies through your browser or device settings.

11. Security

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse. No method of transmission or storage is completely secure, but we work to protect your information and review our safeguards regularly.

12. Children

Olyv is intended for adults (18 and over). We do not knowingly collect data from anyone under 18. If you believe a minor has provided us with personal data, please contact us so we can remove it.

13. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you.
